What's the best scheduling software for therapists?

For a private-practice therapist the fit is: prepaid sessions (or deposits), recurring weekly slots, automatic reminders, and a page that carries your name, not a vendor’s. CalenQ does all four — clients book and pay in one step (card, PayPal, UPI), recurring bookings hold the weekly slot, and white-label branding is included. One-time $39 (₹3,500) lifetime license, 15-day free trial without a card.

Full fee or deposit at booking — fewer no-shows, no awkward payment talk
Recurring clients
Weekly/fortnightly recurring bookings and session packages
Your brand

Get paid for the session, your way

Collect the session fee at booking through Stripe, PayPal or Razorpay, or have new clients arrive as requests you approve before any money moves. Where supported, a request can place a card hold that you capture only when you accept; otherwise the client is charged on request and refunded in full if you decline. You connect your own processor, so fees settle directly to your practice account. This page is for private and cash-pay work; CalenQ does not handle insurance billing.

Policies and reminders that reduce no-shows

Set a flexible, moderate or strict cancellation and reschedule policy per session type so a late cancel is handled the way your practice expects. Clients reschedule and cancel themselves through a self-serve link, and automatic reminders go out before each appointment. Two-way Google and Outlook sync keeps your personal calendar and your booking calendar from ever colliding.

A booking page that reads as your practice

White-label the booking experience under your own brand, logo and color so clients never feel handed off to a third party, with client emails carrying your brand too. White-label is a paid-plan capability, so it activates with the lifetime license: $39 once per practitioner, a 15-day free trial with no card, and a 30-day money-back guarantee. There is no monthly subscription.

Questions, answered

Therapists and counselors, FAQ

What to check before you pick a scheduling tool.

Can clients pay for sessions when they book?

Yes. Collect the session fee at booking via Stripe, PayPal or Razorpay, or take bookings as requests you approve before charging. Funds settle to your own processor account.

Is CalenQ HIPAA compliant?

CalenQ is built for private and cash-pay scheduling. It does not provide HIPAA certification, a BAA or insurance billing, so use it for the booking, payment and reminder layer of your practice.

Can I set a cancellation policy?

Yes. Choose a flexible, moderate or strict cancellation and reschedule policy per session type, with reschedule fees you control.

Can the booking page use my own brand?

Yes. White-label the page and client emails under your brand, logo and color, with no CalenQ badge. White-label is a paid-plan capability, so it activates with the lifetime license.

Does it bill me monthly per associate?

No. There is no monthly per-seat subscription. Each practitioner's lifetime license is a one-time $39, plus a 15-day free trial and a 30-day money-back guarantee.
