1. Third-Party Calendar Integration & Data Handling
CalenQ is designed to function exclusively as a synchronization tool and interface, not a primary data storage facility for your schedule.
To provide our core service, CalenQ connects to your external calendar accounts (such as Google Calendar, Microsoft Outlook, or Apple Calendar) via secure OAuth protocols.
- No Password Storage: We never see, collect, or store your third-party account passwords. We rely entirely on secure, revocable access tokens provided directly by the third-party platforms.
- Minimal Data Access: We only request, read, and write the minimum calendar data necessary to execute the synchronization rules you configure (such as event start/end times, free/busy status, and event titles).
- Limitation of Liability for Third-Party Platforms: You acknowledge that CalenQ relies entirely on the APIs and infrastructure of third-party providers. CalenQ assumes absolutely no liability for data breaches, data loss, synchronization failures, or unauthorized access that originates from vulnerabilities, outages, or policy changes within Google, Microsoft, Zoom, or any other connected platform.
2. Mandatory Google API Limited Use Disclosure
CalenQ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google Calendar data solely to prevent conflicts in bookings/appointments and promote efficient scheduling.
- We expressly guarantee that we WILL NEVER sell your Google API information to a third party or use your personal calendar data to train generalized artificial intelligence models without your explicit, opt-in consent.
- Users who book with you via CalenQ will never have access to view your underlying calendar events.
3. Types of Information Collected
We collect two types of information:
- Personally Identifiable Information (PII): Information that identifies a specific End User, such as your name, email address, optional mobile phone number (used only for account-related communications and recovery), and billing information when you register for an account.
- Non-Personally Identifiable Information (Non-PII): Information that does not identify a specific user. This may include the URL of the website you visited before/after coming to our Website, browser type, IP address, and browsing history on our Site. This information may be collected through server logs as part of normal platform operation.
4. Release, Analysis, and Sharing of Information
We will not sell, rent, or trade your PII to third-party ad brokers.
However, to operate and grow our software, we reserve the right to process, analyze, and share your information under the following business circumstances:
- Internal Analysis and Product Improvement: We actively use your Non-PII and general account usage data for internal analytics, trend tracking, and algorithmic product improvements. For users under GDPR, this processing is conducted under the lawful basis of our "Legitimate Business Interests."
- Corporate Affiliates and Third Parties: We may share your information with our corporate affiliates, subsidiaries, or parent companies for business operations. We also share data with trusted third-party service providers (e.g., analytics engines, hosting providers) to help us analyze usage patterns and deliver the Services.
- Business Transfers: If CalenQ merges with, is acquired by, or sells its assets to another company, the successor company will seamlessly acquire all data and information we maintain.
- Google API Carve-Out: Notwithstanding the above, any data specifically obtained via Google Workspace APIs will strictly adhere to the Google Limited Use Policy and will not be shared with third parties for general analysis unless directly required to provide the core scheduling service.
5. Security of Information & Waiver of Data Liability
We take security seriously and employ commercially reasonable precautions to protect PII. However, no data transmission over the Internet or cloud storage system can be guaranteed to be 100% secure.
Waiver of Damages for Data Issues
By using CalenQ, you expressly acknowledge and agree that you are transferring and syncing data at your own risk. Under no circumstances, and under no legal theory (whether in contract, tort, negligence, or otherwise), shall CalenQ, its affiliates, directors, or third-party partners be liable to you or any third party for any direct, indirect, incidental, consequential, special, or punitive damages arising from:
- Data loss, data corruption, or synchronization errors.
- Unauthorized access, hacking, or data breaches affecting our servers or our third-party integrated platforms (e.g., Google, Microsoft).
- The accidental disclosure or exposure of your schedule, attendee list, or personal information.
You explicitly waive any right to claim financial damages, lost profits, or compensation for reputational harm related to the processing, storage, or loss of your data by CalenQ.
6. Cookies
CalenQ uses only strictly necessary cookies to operate the platform. Specifically, we use a session cookie to keep you signed in after authentication. We do not use tracking cookies, advertising cookies, third-party analytics cookies, pixel tags, or web beacons. No cookie consent is required because we do not use any non-essential cookies. If you disable cookies in your browser, you will not be able to stay signed in to your account.
7. Communications and SMS
CalenQ may communicate with you via email and SMS. The following terms apply:
- Administrative Emails: You cannot opt-out of Administrative Emails (e.g., booking confirmations, account notifications, password resets) as they are required for the service to function.
- Marketing Emails: You may opt-out of promotional offers at any time by clicking the "unsubscribe" link in the email.
- SMS Reminders: If you or your attendees utilize SMS features, message and data rates may apply. Carriers are not liable for delayed or undelivered messages. Recipients can opt-out by replying "STOP".
8. EU General Data Protection Regulation (GDPR) & CCPA
If you are a resident of the European Economic Area (EEA) or California, specific data rights apply to you.
- Role: For the purposes of calendar synchronization, you are the "Data Controller" and CalenQ acts strictly as the "Data Processor."
- Rights: You have the right to access, rectify, restrict, or request the erasure of your personal data.
- Data Deletion: You may revoke CalenQ's access to your external calendars at any time via your Google/Microsoft security settings. Upon requesting account deletion, we will purge your access tokens and account data.
Note: CalenQ is not responsible for deleting meeting events that have already been successfully written to your external third-party calendars prior to account deletion.
9. Changes to Privacy Policy
CalenQ reserves the right to modify this privacy policy at any time. If we make material changes, we will post the updated policy on this page and/or notify you by email. Your continued use of the Services after changes are posted constitutes your acceptance of the revised policy.
